Our Promise
Trust is the foundation of everything we build here.
You are handing us something tender — the shape of your celebration, the names of the people you love, the numbers that keep you up at night, and sometimes the reasons beneath all of it. We do not take that lightly.
So we make you a simple promise. We collect only what we reasonably need to give you a beautiful, useful planning experience and to make it better over time. We do not sell your personal information. We do not share it with advertisers. And we handle what you tell us with the same care, respect, and intentionality that we ask you to bring to your own wedding day.
The pages that follow explain the details. But the promise is the part worth remembering.
Our Privacy Principles
Five commitments guide every decision we make about your information.
We collect only what we reasonably need.
We never sell your personal information.
We design for trust first.
Personalization should feel helpful — not invasive.
You remain in control of your information and your planning journey.
Everything that follows is simply the detail behind these five.
1. Information You Give Us
We collect the information you choose to provide as you use the Service. Depending on which products you use, this may include:
-
Account information — your email address, an encrypted form of your password, and authentication details
-
Profile information — your full name, wedding date, wedding location, optionally your partner's name and a profile photo
-
Planning content — your wedding vision, planning priorities, inspiration, Wedding Compass™ responses, Feeling Finder™ selections, Vendor Energy Check™ entries, Priority Sort™ results, Beneath the Veil™ reflections, budget information, timeline information, checklists, notes, and wins
-
Guest and vendor information — guest lists, guest counts, vendor names, and related planning details
-
Uploads — images, PDFs, contracts, inspiration boards, vendor documents, and other planning materials
-
AI conversations — messages you exchange with AVA™ or other AI features
-
Community interactions — posts, comments, and participation within our community spaces
-
Dashboard activity and preferences — progress, completions, settings, and how you use our tools
-
Consent records — the date, time, and version of the Terms and Privacy Policy you accepted
-
Payment information — where you purchase a paid product, processed by our payment provider (we do not store full card numbers)
2. Information About Other People
Our tools allow you to record information about other people — most notably guest names, family details, and vendor contacts.
Please enter only what you need. You are responsible for having a lawful basis to record information about others. We use this information solely to display, organize, and total it for you within your own account. We do not contact the people you list, and we do not use their information for any independent purpose.
3. Information Collected Automatically
When you use the Service, we and our providers may automatically collect:
-
technical data such as IP address, browser type, device type, and operating system
-
usage data such as feature usage, click activity, navigation paths, and engagement
-
performance data such as load times, error reporting, and crash diagnostics
-
aggregate usage trends across the member base
-
anonymized or aggregated usage information used for product research, feature development, improving member workflows, and understanding how members interact with new tools.
We use this to keep the Service secure, reliable, and continually improving. Anonymized and aggregated information does not identify you individually, and we do not attempt to re-identify it.
4. Cookies & Similar Technologies
The Service may use cookies, pixels, local storage, analytics technologies, and similar technologies to:
-
keep you signed in and authenticate your session
-
remember your preferences and settings
-
improve performance and reliability
-
measure usage and understand which features help members most
-
improve the overall member experience.
Most browsers allow you to manage or disable cookies, though some features of the Service may not function properly without them. Should we introduce analytics or advertising technologies in the future, we will update this Policy and, where required, obtain your consent.
5. How We Use Your Information
We use the information we collect to:
-
create, secure, and authenticate your account
-
save your planning work and make it available across your devices
-
personalize your dashboards, recommendations, reminders, checklists, educational content, and AI responses
-
provide customer support and respond to your requests
-
send essential account communications
-
understand how the Service is used, in aggregate, so we can improve it
-
develop new features, products, and educational experiences
-
protect the security and integrity of the Service and prevent abuse
-
comply with legal obligations and enforce our Terms.
Where required by law, our legal bases for processing are: performance of a contract (providing the Service), consent (optional communications and certain processing), legitimate interests (security, product improvement, and fraud prevention), and compliance with legal obligations.
6. Personalization
Personalization is one of the core benefits of the Service. The information you provide allows us to tailor your dashboard experience, planning recommendations, reminders, educational content, checklists, AI responses, suggested resources, and progress tracking — and to make our products better for the members who come after you.
The more you tell us, the more the Service can feel like it was made for you. What you share is always processed according to this Policy.
7. Artificial Intelligence & Personalization
Vivant & Vow™ may use artificial intelligence to personalize recommendations, answer planning questions, summarize your planning information, generate reminders, organize planning content, suggest educational resources, improve the member experience, and improve future AI models and platform functionality.
AI processing may involve trusted third-party AI providers — including large language models, machine learning providers, and other current or future artificial intelligence technologies — who operate under contractual obligations designed to protect your information and to restrict how it may be used.
Conversations with AVA by Vivant & Vow™ and other AI Features may also be used to improve personalization, improve future AI responses, improve the intelligence of our platform, develop new features, and improve the overall member experience. This processing is always handled in accordance with this Privacy Policy.
AI-generated guidance is personalized based upon the information you voluntarily provide. It is informational only and does not replace professional advice. Please see our Terms of Service for more on the limits of AI features.
7.1 Ava by Vivant & Vow™, Your Planning Companion
AVA is an AI-powered planning companion designed to help you feel calm, capable, and clear about your next step.
Your conversations with AVA may be processed in order to provide personalized guidance, improve planning recommendations, improve future experiences, and enhance the Service.
AVA is an automated system, not a human representative, and is not a substitute for professional support. Please share the information that helps AVA personalize your planning journey, organize your planning journey, and provide more meaningful guidance — and take anything heavier to someone who can be fully present with you.
8. Who We Share Information With
We share personal information only with service providers who help us operate and improve the Service, under contract and only as necessary. These providers may include:
-
cloud hosting and infrastructure providers
-
database and authentication providers
-
payment processors
-
artificial intelligence providers
-
email and communication providers
-
analytics and error-monitoring providers
-
automation and workflow platforms
-

We do not sell or rent your personal information. We do not share it with advertisers or data brokers, and we do not share it for cross-context behavioral advertising.
9. Internal Access
Access to member information within Vivant & Vow™ is limited to authorized personnel who require it to perform their role — for customer support, maintenance, security, legal compliance, improving our products, and improving the member experience. Access is granted on a need-to-know basis and is subject to confidentiality obligations.
10. Marketing & Anonymized Examples
We may use anonymized planning examples, screenshots, educational examples, planning progress, dashboard achievements, and community interactions for education, marketing, product demonstrations, presentations, and promotional materials.
Before any such use, personally identifying information is removed, blurred, cropped, generalized, or otherwise anonymized, unless you have separately given us explicit permission to identify you.
Some content is never used for marketing without your separate, explicit opt-in: your Beneath the Veil™ reflections, your specific budget figures, the names of your guests, and the contents of documents you upload.
If you would prefer that a particular contribution not be used, write to members@vivantandvow.com and we will honor that request going forward. This section corresponds to the Marketing, Testimonials & Community Content section of our Terms of Service.
11. Business Transfers
If Vivant & Vow™ is involved in a merger, acquisition, financing, reorganization, restructuring, bankruptcy, sale of assets, or other transfer of all or part of our business, member information may be transferred as part of those business assets. We will notify you of any such transfer and of any material change to how your information is handled.
12. Legal Disclosures
We may disclose information where we believe in good faith that disclosure is necessary to:
-
comply with a subpoena, court order, or other legal process
-
respond to a lawful governmental or law enforcement request
-
comply with applicable law or regulation
-
investigate potential violations of our Terms
-
detect, prevent, or address fraud, security, or technical issues
-
protect the rights, property, or safety of Vivant & Vow™, our members, or the public
13. How We Protect Your Information
We employ reasonable technical and organizational safeguards to protect your information, including encryption in transit, secure authentication, row-level access controls that restrict each member's records to their own authenticated account, hashed password storage, monitoring, and secure infrastructure provided by established vendors.
Nevertheless, no online platform can guarantee complete security. We cannot promise that unauthorized access, disclosure, alteration, or data loss will never occur. You use the Service with that understanding, and we encourage you to keep independent copies of anything important to you.
Protecting your information is a shared responsibility. We ask that you use a strong, unique password, protect the devices you use to access your account, keep your software and browsers updated, enable multi-factor authentication wherever it is available to you, and notify us at members@vivantandvow.com if you notice suspicious activity. There are steps only we can take, and steps only you can take. Together they are far stronger than either alone.
14. Data Retention
We retain your information for as long as your account is active, and afterward only as long as reasonably necessary.
Different categories of information may be retained for different periods depending on legal obligations, dispute resolution, security requirements, backup cycles, and product integrity. For example, consent records are retained as proof of agreement, and backup copies may persist for a limited period after deletion from active systems.
If you delete your account, we delete your personal information and planning content from active systems within 30 days, except where retention is required by law or necessary to resolve disputes or enforce our agreements.
15. Your Rights & Choices
You may access and correct most of your information directly within the Service at any time. You may also ask us to:
-
provide access to, or a copy of, your personal information
-
correct information that is inaccurate or incomplete
-
delete your account and associated personal information
-
export your planning information in a portable format
-
restrict certain processing of your information
-
object to processing based on our legitimate interests
Depending on where you live — including the European Union and United Kingdom (GDPR) and California (CCPA/CPRA) — you may have additional rights, including the right not to receive discriminatory treatment for exercising them, and the right to lodge a complaint with your supervisory authority. California residents: we do not sell or share personal information for cross-context behavioral advertising.
To make a request, email members@vivantandvow.com. We will verify your identity before acting, and we will respond within the timeframes required by applicable law.
16. Email Communications
Depending on your account and preferences, you may receive:
-
account notifications and confirmations
-
password reset and security notifications
-
essential service announcements
-
onboarding and orientation emails
-
optional educational communications
-
optional marketing and promotional emails
You may unsubscribe from optional educational and marketing emails at any time using the link in those messages or by contacting us. Essential account, security, and service communications will still be sent when necessary, as they are part of providing the Service.
17. International Users
Vivant & Vow™ operates in the United States, and your information will be processed there. Data protection laws in the United States may differ from those in your country of residence. By using the Service, you understand that your information will be transferred to and processed in the United States and in the locations of our service providers.
Where required, we rely on appropriate safeguards for such transfers.
18. Children's Privacy
The Service is intended for adults and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it promptly.
